With SendX, you can streamline this process using automated drip email sequences. This guide walks you through setting up an outbound prospecting workflow in SendX, from building your list to automating responses based on user behavior.
Before You Begin
To get started, make sure you have the following in place:
A Drip Campaign created in SendX with a series of emails designed for outreach.
A List where your leads will be added.
A CSV file with lead contact details.
Tags for tracking prospect engagement (e.g., "Replied-to-Drip").
A clear understanding of how you want to manage replies and follow-ups.
Step-by-Step Instructions
1. Create a List for Your Prospects
Navigate to the Lists section in SendX.
Create a new list specifically for your outbound leads.
2. Build Your Drip Sequence
Go to Campaigns > Drip Campaigns and create a new sequence.
Write a series of outreach emails that introduce your product or service in a story-driven and personalized way.
Keep the end goal in mind — typically, conversion or a sales conversation.
3. Set Up Automation to Start the Drip
Go to Automation > Create New Automation.
Trigger: "Subscribed to a List" → select the list you created.
Action: "Add to Drip Campaign" → select the drip sequence you built.
Save and activate this automation.
4. Import Contacts into the List
Upload your CSV file containing lead contact info.
Assign the contacts to the list connected to the automation.
This will automatically trigger the drip campaign for all those contacts.
5. Track Replies and Tag Responders
In the Drip Campaign settings, enable Track Replies.
Create a second automation:
Trigger: "User replies to drip campaign" → choose the relevant drip.
Action 1: Add a Tag (e.g., “Replied-to-Drip”).
Action 2: Remove from Drip Campaign → select the same drip sequence.
This ensures prospects are not continuously emailed once they’ve responded.
Tips & Best Practices
Make It Personal: Use merge tags and tailor your message to the recipient’s industry, pain points, or role.
Keep Emails Conversational: Avoid sounding robotic. Be helpful, human, and clear with your intent.
A/B Test Your Sequences: Try variations in subject lines, content, and CTAs to improve performance.
Use Tags Strategically: Tags help you segment and follow up efficiently.
Monitor Performance Regularly: Track open, click, and reply rates to identify drop-off points and optimize content.
