How to Manage Your Subscription Preferences

Managing subscription preferences is essential for giving users control over the emails they receive—without forcing them to unsubscribe from everything. With SendX, you can allow subscribers to opt out of specific campaigns while staying connected to your overall mailing list. In this guide, we'll walk you through setting up this preference management system using lists, tags, and automation.

Before You Begin

Make sure you have:

  • Access to your SendX

  • Contacts imported or ready to be added

  • A clear understanding of the email groups or campaigns you want users to manage (e.g., promotional vs. updates)

You’ll also need to create:

  • Two separate Lists for different campaign types

  • Two corresponding Tags

  • An Embedded Form and Landing Page

Step-by-Step Instructions

Step 1: Create Lists

  • Go to your SendX Dashboard > Lists

  • Create List A and List B based on the types of campaigns you send

  • Import your contacts into the appropriate lists

Step 2: Create Tags

  • Navigate to Tags in SendX

  • Create Tag A (linked to List A) and Tag B (linked to List B)

  • These tags will be used to trigger automation when users update preferences

Step 3: Set Up Automation

For both List A and List B:

  • Go to Automation > Create New Automation

  • Trigger: "Contact added to Tag A"

  • Action: "Remove contact from List A"

Repeat this process for Tag B and List B:

  • Trigger: "Contact added to Tag B"

  • Action: "Remove contact from List B"

This ensures users are removed from lists based on their selected preferences

Step 4: Create an Embedded Form

  • Design a form that includes:

    • Checkboxes for each tag (Tag A, Tag B)

    • An Unsubscribe button to allow full opt-out

  • This form will collect users’ preferences and apply the relevant tags

Step 5: Add the Form to a Landing Page

  • Copy the shortcode of the embedded form

  • Paste it into a newly created Landing Page

  • This page will serve as the central hub for managing preferences

Step 6: Link the Landing Page to Your Emails

  • Copy the URL of the landing page

  • Add this link as a “Manage Preferences” option in your email footer, preferably near the unsubscribe link

When users click "Manage Preferences," they’ll be taken to your landing page, where they can update their subscription settings. Based on their selection, the automation will remove them from specific lists—without unsubscribing them completely from your platform.

Tips & Best Practices

  • Be transparent: Let users know what each list represents (e.g., "Weekly Deals," "Product Updates").

  • Make it easy: Keep the form simple and mobile-friendly.

  • Keep preferences up to date: Regularly review tags and lists to ensure they match your campaign structure.

  • Respect user choices: Immediately apply changes once a user updates preferences.

  • Test the flow: Try the full experience yourself before launching it to users.

With this setup, you can give your subscribers greater control over what they receive, reduce unsubscribes, and maintain a healthy, engaged email list.
