How to Analyze and Export Reports in SendX

Reports in SendX help you track the performance of your newsletters, workflows, and drip campaigns so you can understand how your audience engages with your emails and make data driven decisions to improve future campaigns.

When You Need Reports

Use reports to:

  • Track open rates, click rates, and engagement for sent campaigns

  • Identify which emails resonate with your audience

  • Export campaign data for further analysis or presentations

  • Share performance summaries with your team or stakeholders

  • Monitor workflow and drip campaign effectiveness over time

  • Understand geographic performance and click behavior


Newsletter Campaign Reports

Viewing Newsletter Performance

  1. Go to Newsletters in your SendX dashboard

  2. Click on the newsletter campaign you want to analyze

  3. Navigate to the Performance tab

You'll see these key metrics:

  • Sent: Total number of emails successfully delivered

  • Opens: Total number of times your email was opened (includes multiple opens by the same contact)

  • Clicks: Total number of clicks on links in your email (includes multiple clicks by the same contact)

  • Unique Opens: Number of individual contacts who opened your email at least once

  • Unique Clicks: Number of individual contacts who clicked at least once

  • Unsubscribes: Contacts who opted out after receiving this email

  • Bounced: Emails that could not be delivered

What's the difference between total and unique metrics?
Total counts include repeat actions (if someone opens your email 5 times, it counts as 5 opens). Unique counts each contact only once, no matter how many times they opened or clicked.

Sharing a Newsletter Report as PDF

If you need to share your campaign performance with someone outside your SendX account:

  1. Open the newsletter campaign and go to Performance

  2. Click the Share button

  3. Select Get Report Sharable Link

  4. Copy the generated link and share it with anyone

Important: The shared link is public (anyone with the link can view the report) and expires after 30 days. After expiration, you'll need to generate a new link.

Exporting Newsletter Data to CSV

To export campaign summary data across multiple newsletters:

  1. Go to the Newsletters page

  2. Click the Stats dropdown button (located above your newsletter list)

  3. Select a time range:

    • Today

    • Last 7 days

    • Last 15 days

    • Last 30 days

    • Or a custom date range

  4. A CSV file will be emailed to you

The CSV contains campaign level summaries (one row per newsletter) including sends, opens, clicks, unsubscribes, and bounces for all newsletters sent during the selected period.

Need contact level details?
To see which specific contacts opened or clicked within a campaign, you must export that data from inside the individual campaign's performance page.


Workflow Reports

Workflows in SendX allow you to automate email sequences and track how contacts move through each step.

Accessing Workflow Reports

  1. Go to Workflows

  2. Open the workflow you want to analyze

  3. Click the Reports tab within that workflow

Understanding Workflow Metrics

You'll see two types of reports:

Version Wise Report (Latest Version)
Shows performance data for the current version of your workflow. If you've made edits or updates to your workflow, this report reflects only the latest configuration.

Aggregate Report (Lifetime Performance)
Shows cumulative data across all versions of the workflow, regardless of edits or changes you've made over time.

Key metrics include:

  • Contacts Enrolled: Total contacts who triggered and entered the workflow

  • Active: Contacts currently in progress or waiting at a workflow step

  • Contacts Completed: Contacts who completed all workflow steps and exited

  • Goal Conversions: If you've set goals, you can measure how many contacts achieved them

Viewing Email Performance Within Workflows

To see detailed metrics for a specific email inside your workflow:

  1. Open the workflow

  2. Locate the email step you want to analyze

  3. Click the Email Reports button on that step

This report includes:

  • Opens, clicks, unique opens, unique clicks

  • Geographic stats (where your contacts are located)

  • Click heatmaps (visual representation of where contacts clicked in your email)

  • Unsubscribes and bounces for that specific email

Note: Workflow reports cannot be exported to CSV or PDF. You can only view them within the SendX dashboard.


Drip Campaign Reports

Drip campaigns are automated email sequences sent based on a schedule or trigger.

Accessing Drip Reports

  1. Go to Drip Campaigns

  2. Open the drip campaign you want to review

  3. Navigate to the Reports section within that campaign

Report Types Available

Individual Drip Step Reports
Each email in your drip sequence has its own performance report showing opens, clicks, unsubscribes, and bounces for that specific email.

Overall Drip Performance
A summary view showing cumulative performance across all emails in the drip campaign.

Exporting Drip Campaign Data

You cannot export overall drip performance reports, but you can export contact level data for individual drip steps:

  1. Open a drip campaign

  2. Go to the specific drip step you want to export

  3. Export contact lists for:

    • Contacts who opened

    • Contacts who clicked

    • Contacts who unsubscribed

    • Contacts who bounced

This is useful when you want to segment or follow up with contacts based on their behavior at a specific step in your drip sequence.


Important Notes and Limitations

Export Limits
There are no limits on the number of campaigns or rows you can export via CSV for newsletters.

Data Access
Reports are available for all campaigns regardless of status (active, paused, or stopped).

User Permissions
All team members can access reports. There are no role based restrictions.

Report Retention
SendX retains all historical report data with no time limit. You can view performance for campaigns sent at any time.

Common Questions

Q: Why do my total opens and clicks seem higher than unique opens and clicks?
A: Total metrics count every action. If one contact opens your email 10 times, that counts as 10 opens but only 1 unique open. This is normal and indicates repeat engagement.

Q: Can I schedule automated report exports?
A: Not currently. You need to manually export reports each time using the Stats dropdown or campaign export options.

Q: What happens if I export a very large date range?
A: There are no size restrictions. The CSV will be generated and emailed to you regardless of how many campaigns are included.

Q: I updated my workflow. Will the report show old or new performance?
A: The "version wise" report shows only the latest version's performance. Use the "aggregate report" to see lifetime data across all versions.

Q: Can I compare performance across multiple campaigns?
A: Export your newsletter stats as CSV, then use spreadsheet software like Excel or Google Sheets to compare and analyze multiple campaigns side by side.

Q: The shared PDF link isn't working. What should I do?
A: Shared PDF links expire after 30 days. Generate a new sharable link from the campaign's Performance tab.

Q: Can I see which specific contacts opened or clicked my newsletter?
A: Yes, but you must export that data from within the individual campaign's performance page. The Stats CSV export only provides campaign level summaries.

Q: Do I need a paid plan to access reports?
A: Reports are available on all plans, including free trials, with no restrictions.
